Spectacle is an independent optician practice based at 37 The Parade, Claygate, Surrey KT10 0PD. We are registered with the Information Commissioner's Office (ICO) as a data controller.

What data we collect and why
Contact and booking enquiries
When you submit an enquiry via our website, we collect your name, email address, and phone number. We use this to respond to your enquiry and arrange appointments. Legal basis: legitimate interests.
SPEED dry eye questionnaire
When you complete our dry eye symptom questionnaire, we collect your name, email, phone number, and symptom responses. This is health data (special category data) and is used to provide you with relevant clinical information and to follow up with appointment recommendations. Legal basis: explicit consent (provided by completing and submitting the form).
Clinical consent forms
Our digital consent forms collect your name, date of birth, signature, and relevant health information. Where consented, they may also collect anonymised clinical images. This data forms part of your clinical record and is handled in accordance with our obligations as a registered healthcare provider. Legal basis: healthcare treatment and legal obligation.
Website analytics and advertising
With your consent, we use Google Tag Manager and Google Analytics to understand how visitors use our website, and Google Ads to measure the effectiveness of our advertising. This involves the use of cookies.
We also use Microsoft Clarity to generate anonymised heatmaps and session recordings that show how people interact with our pages. This helps us identify and fix usability issues. Any text typed into forms (including names, email addresses, phone numbers, and questionnaire responses) is automatically masked by Clarity and never captured. Clarity loads only after you accept cookies.
You can withdraw consent at any time by clearing your cookies and declining when the banner reappears.
Who we share your data with
We do not sell or share your personal data with third parties for marketing purposes. We use the following service providers who may process your data on our behalf:
- Resend — email delivery service used to send enquiry confirmations and clinical communications
- Vercel — website hosting provider
- Microsoft — practice email and communications
- Google — analytics and advertising measurement (with consent only)
- Microsoft Clarity — anonymised behaviour analytics and session recording (with consent only)
- Opticare / Optinet Nova — our clinical practice management system
All providers are required to handle your data in accordance with applicable data protection law.
How long we keep your data
- Contact and enquiry data: up to 2 years from last contact
- Clinical records (including consent forms): 10 years from last appointment, or until age 25 for patients who were minors
- SPEED questionnaire responses: up to 2 years
- Analytics data: as per Google Analytics retention settings (26 months)
Your rights
Under UK GDPR, you have the right to:
- Access the personal data we hold about you
- Request correction of inaccurate data
- Request deletion of your data (subject to our legal obligations as a healthcare provider)
- Object to or restrict how we process your data
- Withdraw consent at any time where processing is based on consent
- Lodge a complaint with the ICO at ico.org.uk
